INTERNAL REGULATIONS
Volubilis aims to provide successful entrepreneurs with a multifunctional space that works seamlessly powered by a striving community. We want to provide our customers with the tools they need to boost their productivity and effortlessly connect with like-minded business and social communities. We believe in strong values and aim to be a positive impact place, for that we value personal fit. As part of this vision, Volubilis members and their guests are expected to adhere to accepted standards of conduct.
ACCESS TO THE VOLUBILIS SPACE
We're open 24 hours a day for Residents, and Monday through Friday from 9am to 6pm for hot desk users and non-member meetings.Please do not allow anyone you do not know to enter the Center, especially outside of reception hours (before 9:30am, after 5pm and during the weekend).
It's not allowed to enter the Center if you're intoxicated, under the influence of drugs or bringing drugs or alcohol.
It is forbidden to lend or transfer your access/badge. You can always create a visitor access through the Volubilis app.
Visitors
All visitors must be registered (online or in person) and present valid identification upon check-in at the front desk during opening hours (Monday to Friday from 9am to 6pm).
A visitor/guest must always be accompanied by their host into the space. They cannot be left alone for legal reasons.
A visitor comes to Volubilis for a limited period of time. If you wish to welcome a guest (for more than a day) you can purchase a Guest Pass whose rates can be communicated to you by the Office Manager.
You are entirely responsible for your visitors/guests during their stay at Volubilis and you must ensure that they respect the same community rules as those required of members of the center.
Usage of the space
Volubilis is a working space, we ask our members to act accordingly with office behaviour
No illegal or illicit activity is permitted in the Center.
The use you make of the Center shall not give rise to any contravention, complaint or claim by anyone, including other members or authorities.
Events
It is not possible to organise events at Volubilis with non-members without confirming availability with the Office Manager.
Animals
Animals are not allowed in our center.
Children
Minors and children are not allowed in the center unaccompanied.
USE OF OUR DIFFERENT AREAS
PRIVATE OFFICES
Interior usage
The arrangement of desks in a private office may be changed.Consult with our office manager before making any significant change.
No more people will be allowed in private offices than the number initially authorised.
Do not hang anything on the windows, above the glass and on the wooden partitions.
For safety reasons, appliances such as coffee machines, kettles, microwaves, etc. are not allowed in the offices.
In order to ensure a clean and visually pleasant environment, we ask that you keep your desk tidy to allow the cleaning staff to work in optimal conditions. An untidy office will not be cleaned.
It is forbidden to bring and consume cooked food inside the private offices.
Noise and disturbances
If you are listening to music in your private office, please keep the noise level low enough to not disturb your neighbours.
To improve privacy we ask our members to keep their conversations at a reasonable acoustic level in their offices.
Trash
Please mark packages you wish to have removed from your office as "TO BE DISPOSED OF ».
Boxes that you wish to recycle must be laid flat and placed in front of a trash can.
At Volubilis we care about having a sustainable way of living that’s why we encourage our users to always recycle their wastes. We installed recycling bins around the space to facilitate it.
Food
Any cold food can be eaten in your private office.
It is not possible to leave perishable food or tupperware in your office or in the refrigerators (they will be emptied every Friday).
OPEN SPACE
If you are in an open space, we apply a clean desk policy: please leave your desk spotless and store your personal belongings in the lockers provided.
The open space is a common area where the use of the cellphone must be exceptional. Phone booths are provided for this purpose.
MEETING ROOM
Meeting rooms can be booked in 1 hour slots for a maximum of 3 consecutive hours or in half or full days slots (with a minimum notice of 24h).
All bookings include a 15 minutes buffer time for setup/preparation before the start of the meeting.
You must leave the meeting room at the exact time your reservation ends. When you leave the room, please leave it in the same condition in which you found it.
You may not exceed meeting room capacity or take a chair from an office or open space and add it to a meeting room (please check room capacity before booking).
Please do not bring cooked food into the meeting rooms
KITCHEN
The kitchen is a friendly place where you can meet. However, it cannot be privatized.
The kitchen functions as both a (quiet) working area and a dining area. It is not possible to eat hot food on the floors, in your office, in the lounges or in the lobby.
Schedule
Between 12:00 and 14:30, priority is given to those who are having lunch. The rest of the time, priority is given to those who want to work.
Dinners and cutlery
Once you have used your mug, cutlery, trays or bowls please place them in the indicated drawer located in the Kitchen
Please do not leave dishes in the lounges, offices or common areas
Do not leave perishable food or tupperware in the refrigerators for more than 4 days (the fridges will be emptied every Friday).
GARDEN AND WELLNESS OFFERING
Garden
To avoid disturbing our neighbours, please keep always the noise level reasonable in the garden areas.
The garden is open from 8:30am to 8:30pm.
Pool
The pool can be used from 2:00pm to 7:00pm
Please remember that volubilis is an office space, therefore it is forbidden to dive, shout or disturb other users around the pool
To use the pool, wearing a swimsuit is mandatory.
Gym
All users should wear appropriate apparel and footwear
For the benefit of all, it is requested that you return equipment to the corresponding place when finished.
Please mute cellphones.
The use of a personal towel is required in order to avoid possible contagions and the deterioration of the machines.
USE OF COMMON AREAS
We take care to keep the noise level in the common areas balanced so that it is pleasant for everyone. Please feel free to use the individual booths for your calls and the meeting rooms for your gatherings.
In the lobby, on the terraces and in the common areas, you can meet up to 4 people, beyond that, please book a meeting room.
Please leave the common areas (lounges, terraces, garden) and toilets in the same impeccable condition in which you found them. We reserve the right to charge an extra fee in case of any unplanned ancillary service due to the disrespect of this rules.
Access to the technical roof via the fire escape is strictly forbidden to members under any circumstances
SMOKING
Smoking or vaping is not allowed inside the Center or outside the smoking areas.
The smoking areas will be defined with the proper signalisation. Please always dispose of your cigarette butts and ashes in the ashtrays provided.
INTERNET USE
Volubilis prohibits all forms of illegal behaviour on the internet including, but not limited to :
- Illegal downloading via the Volubilis’ connection
- Visiting child pornography sites
- Apology of terrorism websites
- Holocaust denial sites
- Any act of hacking
MEMBERSHIP RIGHT AND PRIVILEGES
Members are entitled to all the rights and privileges granted to them in their capacity as members, but are not entitled to any proprietary rights in the premises or in respect of Volubilis's property.
VOLUBILIS BRAND
All members and guests of Volubilis and its affiliates are prohibited from using the names, logos, colors, trademarks, service marks, photographs, trade dress, or other identifying features of Volubilis and its affiliates without the explicit written approval of Volubilis.
Upon reading this document, you acknowledge that the Volubilis's brand is the exclusive, valid and unique property of Volubilis, its parent, affiliates, and/or subsidiaries.The Volubilis brand may not be produced, used or created by members or their guests, nor may it be authorised by them to be produced, used or created by anyone else. This includes, but is not limited to, any communications, marketing, advertising or promotional material, including, but not limited to, brochures, flyers, invitations and email messages that use the Volubilis brand without Volubilis' prior written consent.
Disciplinary procedure
Members or guests whose conduct is prejudicial to the reputation or character of Volubilis may be suspended or expelled.
Among these behaviours may be inappropriate, violent or abusive behaviour or the dissemination of information concerning Volubilis’s affairs, members or guests in the space to the media. Members who have been expelled from Volubilis may not return as guests. The refund of the expelled member's subscription will be at the discretion of Volubilis. If a member or members wilfully remove, damage or destroy any property belonging to, or on the premises of, Volubilis, they may be expelled and/or suspended or terminated. Each member might receive up to 3 warnings from the Management staff before being expelled.
Interpretation of the rules
The management staff be consulted if any dispute arises regarding the interpretation of these rules, whose decision with respect to your membership is final.
